Brand Your Emails with Your Company Name

Plug Up Holes in Abandoned Checkouts

With the new customized email flow, you can greatly improve your conversion rates by setting up automated email responses that reach out to renters who are abandoning during checkout flow.

Set your email to reach out a couple of hours after a potential renter drops off, and see your number of rentals increase dramatically.wheelbase rv reservation

Special Emails for Pre-Pickup and Post-Return 

In addition to abandoned checkouts, you can now send emails with special messages (“remember to turn left at the massive oak tree — our sign is hidden in low light”) or instructions for renters before pickup or after drop-off.

How You Set Up Custom Emails

Navigate to your account settings, then email notifications on your dashboard.

You’ll then see you have a choice to write your own emails for “Checkout Abandoned,” “Reservation Submitted,” “Reservation Complete,” “Trip Begins,” and “Trip Ends.”

This is where you can now enter the email you want to use to cater your message to specific moments in your customer’s journey.

Choose your template, timeframe, then start writing. You can use merge tags to personalize the email, too. For example: Hello, *|renterFirstName|* will automatically import your renter’s name.

Once you’re done filling out your email, hit the green “save email” button, and your email will be ready to go.

Note that we are alerting you about this change to give you some time to set the emails up before they go live. The official switch won’t be for another week.

This week, we are launching a long-awaited Wheelbase Help Center to help you find answers to your questions more quickly and independently. It’s a great training tool for new employees.

Introducing the All-New Wheelbase Help Center


We want you to have access to the answers you’re looking for the moment you need them. We’ve always prided ourselves on fast response times, but our goal is to make sure you never get stuck in a support queue. We don’t want you to lose purposeful time waiting for the Wheelbase support team when all you need is a refresher for simple tasks like how to issue a refund, for example. Search by task or keyword and be prompted with easy step-by-step articles including photos and 30 second videos.

How You Access the Help Center

In your dashboard, you can access the Help Center by clicking on your name, then on “Help & Support.”

If you prefer to bookmark a url, the direct path to Help Center is: http://help.wheelbasepro.com/

When you click into the Wheelbase chat bubble, you will also be prompted to check out the help center while you wait for a response to the question you’ve asked. You can check and see if the Wheelbase Help Center has a similar issue.

Training Materials for Your Staff

There is a section in the Help Center made with your staff in mind. When you have new employees, you can now save time on-boarding them by having them go through Wheelbase “training school” using these articles.

In our last update, we added printable Coach-Net roadside assistance and insurance cards so renters can feel more comfortable about how to get in touch if anything goes wrong during their trip. This week, we’re making it easy for you to include photos of your add-ons to make them more attractive to renters.

Add Photos to Your Add-Ons

Starting this Friday, if you’ve included photos of your add-ons, they will appear on your rentals for potential renters. You can get ready by uploading photos now. Here’s how you do it.

Navigate to “Add-ons and Fees” on your dashboard, and find the add-on whose photo you’d like to add.

When you click edit, you’ll see your options appear. They now include the “Add Photo” option.

For best results, make sure the add-on photos you upload are at least 300 x 300 pixels in size.


Set Your Own Per-Vehicle Insurance Levels

We’ve added new insurance options to empower you to mandate insurance on a per-vehicle basis. Just navigate to your plan options at the vehicle level, then use the dropdown to choose your own setting.

  • More accurate reporting on the source of your bookings.
  • We resolved an issue where some instabook reservations were sending you two emails.

New Insurance and Roadside Assistance Cards

You spoke, we listened. Many of you gave us the feedback that Coach-Net roadside assistance would be even greater if we issued printable ID cards to help provide easy reference for your renters on the road. This week’s update includes insurance and Coach-Net roadside assistance ID cards at the bottom of your renter’s receipt.

We look forward to this clearing up confusion and saving you even more time by helping your renters to get the help they need, when they need it.

  • Fixed the order of Wheelbase add-ons in Outdoorsy (they weren’t loading correctly).
  • Wheelbase users can now add driver information for Outdoorsy renters directly.

Segment makes using other tools like Facebook and Google Analytics tracking fast and easy which, in turn, helps you understand what your renters are looking for. This insight can change the way you run your business.

Word is Getting Out

In the past two weeks, the Wheelbase phone has been ringing off the hook as more and more RV dealers like you sign up with the Wheelbase software. They tell us they’re hearing about us from each other (thank you for spreading the news!), and now the media is starting to catch on, too.

First, RV Business, leading RV industry news site, covered the Coach-Net and Wheelbase partnership announcement.

Then RV Pro joined in. (You probably know the magazine RV Pro from your desk or the side table in your company’s waiting room.) And finally RV Daily Report covered the Coach-Net and Wheelbase partnership. It’s been a bonanza month for Wheelbase RV rental software.

But just because people are excited about Wheelbase doesn’t mean we stop working on new features. Here’s the latest:

Customer Followup After Checkout

We’ve made it a whole lot easier for you to see which customers have fallen off during the checkout process. When a renter is on your company website, they’ll enter their name and email to start the quote. You can now access a list of those renters who left before they finished checking out so that you can follow up with them (and make more money). Under “Quotes,” you’ll see a new tab called Abandoned Checkouts. This is where our list of followups is.

  • Improved quotes/reservations exports to be more accurate.
  • Fixed an issue where agent/employee tracking wasn’t working on new quotes.
  • Added tax support to usage based items like mileage and generator hours.
  • Improved transaction reports to more accurately record refund dates.
  • Improved checkout flow for renters coming through Outdoorsy to ensure they answer the same questions as your other renters.
  • We now allow cash and check refunds, as well as credit card.

Our last update was about exporting customer data from the Wheelbase dashboard. This week we’re sharing Facebook and Google Analytics tracking so that you can learn more about where you are losing (and retaining!) your customers.

Faster Two-Click Reservation

We want to save you time on renter-initiated reservation requests. You can now accept a reservation while processing the reservation payment and messaging the renter in just two clicks.

Tracking 

We’ve made it possible for you to inject your tracking and analytics (like Facebook or Google Analytics) into your checkout flow using a tool called Segment.

When you use Segment, you can choose the tracking services you add to your page. This means you can  easily track conversions to Facebook, or get insight into where your renters drop off from Google Analytics. You can even build your email lists by adding a pop-up email collector or live chat by using Intercom.

Printable Report for Consigned Owner Payouts

You can now print payout reports to share with the cosigned owners you work with. Avoid falling behind in your payout reporting by printing reports before the owners came in to check on their vehicles.


Bugs Fixes and Improvements Made

  • Fixed an issue where add-ons weren’t loading correctly.
  • Fixed an issue where the dashboard would show conversations on incorrect pages and duplicated.
  • Resolved transaction report issues to better track deposits.
  • Added the ability to delete locations.

Wheelbase RV software makes your life easier and your RV rental business more profitable. Our last update was about how you can earn additional revenue on roadside assistance. This week we’re sharing ways for you to export data from your Wheelbase dashboard.


Export Customer Email Addresses to CSV

You can now export your customer information to CSV for use in email marketing campaigns. For example, if you’ve been working to get your rental dealership noticed online and you want to start sending your customers emails, you’ll need to get the emails into a program like Mailchimp. Now you can!


Export Quotes to CSV

To improve your internal accounting, we’ve added another export feature. You can now export your quotes in a CSV. You’ll find export options under your Quotes tab.


New Long Term Rental Functionality

We now accommodate monthly rentals! For month long rentals, set your minimum nights to “31” under reservation preferences.

This will quickly qualify prospective renters and save you time.

This week we’ve given you the ability to earn additional revenue on roadside assistance by adding Coach-Net services to your daily fees.

Add Coach-Net to Daily Rental Fees

Wheelbase

You can now add Coach-Net’s unparalleled roadside assistance package to rentals for a daily fee. This will allow you to earn additional revenue both on roadside assistance and on the time saved trying to troubleshoot renter problems like key lockout, flat tires, or slide-out malfunctioning.

Add Tiered Pricing to Vehicles Under Seasonal Pricing

To add tiered pricing to the vehicles you have under seasonal rates, click the Prices tab, then scroll to Season Rates. Under Pricing Options click the “Use Advanced Pricing” link, and your tiered pricing customization panel will open.

Learning More About What Your Renters Need and Want

Starting this week, we’re tracking what your renters are looking for within the iframe page so that moving forward we will be able to build better, more useful reports for you. Look to more on this as it develops over upcoming weeks.

  • We now show license issues at the end of checkout flow so that we don’t interrupt renters as they’re completing their reservation.
  • Fixed a bug where quotes/pricing were lagging as you created your quotes.
  • Fixed a bug that kept embedded store checkouts from being properly sized on page load.

RV drop off

Wheelbase RV software makes your life easier and your RV rental business more profitable. Our last update was about the checkout experience, from settings to questions to improved conversion rates. This week we cover RV drop off and pick up customization, limited views for basic users, and more.


Set Drop Off and Pick Days by Location

You can now choose when you want renters to pick up their vehicles and drop them off. To set the times you or your team are available for drop offs and pick ups, go to Account Settings, then Store Locations, then Edit.

Once you’ve clicked Edit, choose and set your RV pick up and drop off days and times.

Limited Views for Basic Users 

You can now add employees to your account as basic users.

Once set, basic level employees will have no access to financial reports and won’t be able to make changes to any account settings.


Sort Vehicles within Class

You can now sort your vehicles to better feature the RVs you want renters to see on your site. Sorting appears under your vehicle’s details page. Add the number for the position desired.


New Vehicle Fields

We added the new vehicle fields you needed including: number of seat belts, sizes of beds (king/queen/twin/adults/kids sleeping), a summary and highlights field to give you an easy description of the rig.

  • A renter’s phone number and destination is now required for them to check out.
  • Fixed issues affecting renters uploading their drivers license photos.
  • Fixed an issue that prevented quote creation on iPads.

CHECKOUT QUESTIONS

This week, we fine-tuned the checkout experience for your customers.

Checkout Question Settings

You can now make your checkout questions required (or leave them optional if you prefer).

Questions for Each RV

If you have a larger fleet made up of different types of vehicles, you can now add different questions on a per-vehicle level.

If you’re renting out trailers, you might want to ask, “What will you be towing this trailer with? Do you already have a brake controller?” For Class A’s, you might want to know what kind of experience a renter has with large vehicles. Now you can require they answer these questions in order to check out.

Checkout Flow to Improve Renter Conversion

In addition to the changes mentioned above, we moved trip questions before renter questions so your renters see the total price before we ask for contact info. We’ve found through user testing that this leads to higher conversion rates and more money in your pocket.


CALENDAR FEED FOR EASY MOBILE SYNC

Example of what a Wheelbase booked reservation looks like.

You can now grab your Wheelbase calendar’s feed to add your reservation calendar into your phone (or other gcals, for example). You start by navigating to your profile, then finding your calendar feed.

Next, find the place where you would like to sync the calendar. Navigate to “Other calendars” on the lefthand side, click the small down arrow, and select “add by URL.” Paste the URL you copied from your profile in Wheelbase (example above) to sync.

You can now use your synced calendar on various devices as well as directly in your dashboard.

  • Fixed an issue so you can now read all your messages (only the first page had been available).
  • Fixed an issue to get mileage calculating properly on large mileage numbers.
  • Added vehicle export to CSV.
